The Role: Executive Assistant, Public Affairs

The Location: Washington, DC

The Executive Assistant will provide administrative support to the Executive Vice President of Public Affairs, the Vice President of Government Affairs and manage the Washington office. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks, will be exceedingly well organized and flexible, and will enjoy the administrative challenges of supporting a small office of diverse people and programs. This individual must be able to function effectively in a matrixed, corporate environment under minimal supervision.

This position requires frequent communication and coordination with S&P Global staff in the headquarters office in New York as well as in the various countries where S&P Global is present. The global nature of this team may require work outside of the standard business hours.

Responsibilities

  • Support the Executive Vice President, Public Affairs
    • Assist the EVP with daily duties to maximize the effectiveness of the EVP.
    • Proactively manage the EVP’s calendar and incoming scheduling requests.
    • Coordinate travel arrangements, logistics and trip agendas.
    • Complete monthly expense reports.
    • Arrange facilities, AV and catering for meetings.
    • Perform accounts payable processing and manage vendor invoices and contracts.
    • Answer and respond to incoming calls and emails.
    • Draft correspondences, agendas, presentations, and meeting notes and follow up.
  • Support the Vice President, Government Affairs & Public Policy
    • Proactively manage the VP’s calendar and scheduling requests.
    • Coordinate travel arrangements, logistics and trip agendas.
    • Complete monthly expense reports.
  • Manage the Washington Office
    • Arrange facilities, AV and catering for onsite meetings. Assist local IT team to set up video conferences and virtual meetings.
    • Greet external guests visiting the office.
    • Assist Public Affairs staff visiting from other offices with booking guest desks and liaising with security.
    • Coordinate with other Executive Assistants when company leaders are visiting Washington.
    • Manage the inventory of office supplies, order additional supplies as needed and ensure costs are appropriately managed.
    • Plan space allocations, layouts and floor moves as required.
    • In coordination with Facilities, arrange for and supervise building maintenance.
    • Assist with planning local external events.
    • Onboard new employees and internal transfers: assist with orientation to the organization, benefits enrollment and tax forms.

Skills and Experience

  • At least 5+ years of administrative experience in a corporate setting
  • Experience in a Public Affairs function a plus (government affairs, communications, corporate social responsibility or enterprise marketing)
  • Excellent verbal and written communications
  • Highly organized and detail oriented
  • Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
