Position Summary Our team is experiencing exciting growth within our established practice therefore we need to hire an Office Engineer to the team. The Office Engineer reports to the Resident Engineer (RE), and is responsible for assuring compliance with all plans, specifications, standards and codes. This position requires good communication (both verbal and written) skills, good decision making capabilities, and a clear understanding of when issues need to get escalated to the RE. This position also requires a familiarity with the MS Office software. Duties are as follows: • Provide procedural, administrative support to Project Staff; • Reserve/schedule conference rooms and attend weekly progress status meetings with the Contractor; • Support preparation of progress meeting agendas and minutes; • Receive documents from the Contractor and process incoming/outgoing correspondences, transmittals, submittals, RFIs, changes, etc.; • Prepare Submittal and RFI Logs; • Route documents for approval and signatures (RFIs, changes, submittals, etc.); • Track status of documents (submittals, RFIs, changes, etc.) to ensure timely response and keep Resident Engineer informed of status; • Upload the signed Inspector Daily Reports (IDRs); • Assist Inspectors with files and database system information, when needed; • Assist Project Manager and Resident Engineer with Change Notices and Change Orders; • Assist in the review of Contractor’s cost proposals and processing of invoices; • Evaluate, process and route Contractor’s monthly invoices for approval; • Review and submit Pay Apps; • Track Contractor’s invoices to ensure timely payment; • Update correspondence, transmittals, RFI Log, Submittal Log, etc.; • Maintain paper files; • Process requests for Contractor’s badges and clearances and assist with on-boarding of new staff; • Other tasks as directed by the Resident Engineer and/or the District.
